What to expect

 

The application process

You can apply to us during our application windows via our online form. You can view a Word version of the application form here (please do not submit the Word version of the application form as it cannot be accepted).

Your application will go forward to the next appropriate meeting so please take careful note of our application rounds.

Timeline

  • Grants are typically made twice a year in approximately December and June

  • Grant assessment windows are during April/May and October/November.

As part of the application, you will be required to provide:

  • A budget for your project and any other costs requested (you will find an optional model budget spreadsheet on our application form if you do not already have a template to hand).

  • Your most recent annual accounts (if not available via the Charity Commission), or management accounts if these are over 12 months old.

  • A signed confirmation statement that the application is true and supported by the Trustees/senior management of the applying organisation.

You may also send us images and videos as long as you can confirm you have consent to share the content with SYP Trust and its Board of Trustees. All such content will be deleted following the decision on your application.

Prior to an award you can expect:

  • A call or email from our Grants Manager to discuss your project and the information submitted, if your application has been shortlisted.

  • To provide supporting documents as required for our due diligence process. In some instances where you have under one year of accounts or are not regulated, this could include a signed letter of endorsement from a local Charity, Authority, Health Trust or Constabulary, or a previous charitable funder. We will support you in accessing suitable due diligence evidence if you are very new and unestablished.

If a grant is offered:

You will be required to return a signed* copy of our Terms and Conditions and complete and submit our bank details form, along with evidence of your bank account in the name of the recipient organisation** (personal bank accounts cannot be considered), which will be sent to you along with your grant offer letter.

In some cases, if your due diligence information is unavailable, incomplete or inadequate, we may suggest you identify a partner charity who can receive the funds on your behalf and administer the payments for you.

* This must be signed by the most appropriate member of senior management or Trustee and submitted wet signed (a scan of a signed hard copy letter) and on the relevant organisation’s letterhead.

**This can be an image of a voided cheque or paying in slip, or a bank statement with transaction information redacted/obscured.

Following an award you will be required to:

  • Produce a report at the end or within 12 months of the anniversary of your grant, on the form provided by us.

  • Acknowledge the grant within your annual report and accounts for the year in which you received the grant.

  • Consider collaborating with other organisations working in a similar sector.

  • Be open to attending SYP Trust events to represent your organisation and help us further our aims of improving the lives of children and Young People.

  • A Trustee or Grant Manager visit to your premises (or a video call during Covid-19 restrictions), or regular catch-up calls.

We may also ask for your permission to be featured on our website, as long as you are able to provide suitable consent for any images and/or details.
